job duties:

  • Assist in coordinating office activities and operations to secure efficiency and compliance with the school’s and Testing Centre’s policies
  • Assist in creating and updating records and Equilibrium’s database and filing systems
  • Assist all staff whenever necessary
  • Assist in monitoring office operations at both locations
  • Greet people coming into the school or Testing Centre, direct them to the appropriate contacts or services, provide general information in person and by phone, perform clerical duties and maintain front desk security
  • Open and distribute incoming regular and electronic mail and other material and coordinate the flow of information internally and with external organizations and departments
  • Schedule and confirm appointments and meetings
  • Record and prepare minutes of meetings
  • Order office supplies and maintain inventory
  • Answer telephone and electronic enquiries and relay telephone calls and messages
  • Direct students and clients to appropriate areas, record appointment bookings, and deal with emergencies
  • Ensure smooth office equipment and machinery operation and arrange maintenance and repair work
  • Assist in coordinating and participating in student orientation sessions in the school
  • Actively participate in school and Testing Centre activities, training sessions and staff meetings
  • Supervise and train office staff in procedures and in the use of current software
  • Demonstrate a respectful, inclusive, and professional demeanour in all interactions when representing Equilibrium School

  • education: completion of one- or two-year post-secondary program or equivalent experience
  • work experience: 2-3 years of relevant experience

  • Ability to supervise: 3-4 people
